Truck maintenance and registration tracking in one place

A scale house officer, a broker, an insurance agent. They all ask for papers at the worst moment, and the copy you need is in a truck door pocket, a text thread or an email you can't find. Good truck maintenance and registration tracking fixes that by giving every document one home and every expiry date a warning.

This is a practical walkthrough of how to set that up, whether you run one truck or a yard full of them.

Why papers go missing in the first place

It's rarely laziness. Documents come from different places: the state, your insurer, the clinic, the plate office. They arrive as PDFs, photos or paper, and each one lands wherever you happened to be standing.

Then a renewal slips by because the only reminder was in your head. With one or two trucks you can get away with it for a while. Add a third truck and a second driver and it stops working.

That's the point where vehicle document tracking stops being a nice idea and becomes a daily habit you need.

Put registration and insurance on each vehicle record

The simplest rule: one truck, one record, everything about that truck inside it. Registration, insurance, and the compliance documents that go with it.

In HaulGuardPro, driver and vehicle management keeps licenses, medical certificates, registration and insurance together in one place. Compliance documents are stored on each service record, so you aren't searching three apps to answer one question.

Whatever tool you use, set it up like this:

  1. Create a record for every truck and trailer you run.
  2. Upload the current registration and the current insurance document to it.
  3. Enter the expiry date for each one, not just the file.
  4. Delete or archive the old version when the renewal arrives, so nobody sends an expired copy.

Step 3 is the one people skip. A stored file with no date attached is just a tidier junk drawer.

Set expiry alerts you will actually see

An alert only helps if it reaches you. Deadline reminders in HaulGuardPro warn you before filings and documents expire, and you choose how: push, email or SMS. They cover 20+ pre-loaded federal and state filings, so a lot of the common dates are already there.

A few habits that help:

  • Use SMS for the things that can park a truck, like registration and insurance.
  • Send email alerts to whoever actually does the renewal, which may not be you.
  • Don't wait for the last week. Insurance and plate renewals often need a few back-and-forths.

Share a document without the scramble

When a customer or broker wants proof of insurance, the slow way is to find the file, download it, attach it and hope it's the right one. The faster way is to share it straight from the record.

Documents in HaulGuardPro can be shared by link or email. You send the current copy from the place where it lives, and you don't end up with five slightly different versions floating around in someone's downloads folder.

Common questions

What is UCR registration?

UCR is the Unified Carrier Registration program. It's federally mandated and administered by the states. States collect fees from motor carriers, private carriers, freight forwarders, brokers and leasing companies, based on the number of qualifying commercial motor vehicles in the fleet (New York State DOT).

The UCR Agreement itself is the interstate agreement between the UCR Plan Board of Directors and the 41 participating states (UCR Plan).

On cost, fees depend on fleet size. For registration year 2027, the lowest bracket, 0-2 vehicles, is $55.00 per entity (New York State DOT). Check the official bracket table for your own fleet size.

On timing, a UCR registration year matches the calendar year, and fee collection generally starts in October of the previous year (FMCSA). That's a good reason to put a reminder on your calendar in the fall rather than waiting for January.

How do I keep track of driver license and medical card expiration dates?

Treat them exactly like truck documents: one record per driver, a copy of the document, and the expiry date entered as a real date with an alert on it. Driver and vehicle management in HaulGuardPro holds licenses and medical certificates in the same place as registration and insurance.

The medical side has consequences. A CDL holder's medical exam must be done by a medical professional listed on the National Registry of Certified Medical Examiners (Missouri DOR). In Missouri, if an expired medical certificate or variance isn't updated within sixty days, the state downgrades the license and removes all CDL privileges (Missouri DOR). Other states have their own rules, so look up yours.

Don't leave this to the driver's memory. Set the alert early enough to book an appointment.

A note on driver files

Each motor carrier must keep a driver qualification file for every driver it employs (49 CFR 391.51). That file may be combined with the driver's personnel file (49 CFR 391.51).

That's one piece of what a carrier keeps on file, not the whole list. If you're putting together a DOT compliance checklist for a small fleet, read the rules yourself or ask a qualified compliance professional what applies to your operation.

Why this matters more as you grow

For owner-operators, this is fleet management without the heavy part: a few records, a few dates, a few alerts. For bigger fleets, it's fleet compliance management that doesn't depend on one person remembering everything. Either way, the idea is the same, and any fleet management software worth using should let you do it in a few minutes a week.

Quick checklist

  • One record per truck, trailer and driver.
  • Current registration and insurance uploaded to each truck's record.
  • Expiry dates entered as dates, not just stored as files.
  • Alerts set by push, email or SMS, going to the person who handles renewals.
  • A reminder in October for UCR, since collection generally starts then.
  • Driver license and medical certificate dates tracked the same way.
  • Old copies removed when new ones arrive.
  • Documents shared by link or email from the record, not from your camera roll.
